Administrative Assistant

Duties include:

  • Greet visitors, answer multi-line phones and route calls.
  • Collect, review, file and share documents using electronic systems.
  • Generate, monitor and process paperwork related to orders for the services we provide.
  • Place orders and coordinate with vendors for office supplies, and facility maintenance and services.
  • Track and communicate office and staff schedules.
  • Provide staff support for onboarding and offboarding, benefit and licensing paperwork, travel arrangements and general office communications.
  • Handle arrangements for in-house events, including meetings and training sessions.
  • Office and warehouse organization and errands.
  • Handle incoming and outgoing mailings and shipments.
  • Track assignments and locations of tools, equipment and vehicles.
  • Order parts inventory and receive into stock. 
  • Schedule will generally be weekdays, 8:00 – 5:00 with very little overtime.

 Education, experience and physical requirements:

  • Organized, professional and detail oriented.
  • Computer skills to include Microsoft Office, internet and email navigation, virtual meeting software, and file management.
  • Good phone etiquette. 
  • Comfortable communicating with others, both verbally and in writing.
  •  Must be able to lift 20 pounds.
